Green Heart is East Africa's leading regenerative eco-town — a walkable community built in harmony with nature. We're looking for an Administrative Assistant to keep it all running: the careful, behind-the-scenes work that lets the rest of us build.
We like to do things a little differently — so this application is the first step of the role. Attention to detail is the heart of the job; please read each question carefully and follow the instructions exactly.
"This is not a real estate development. It is a land regeneration project — and the sale of homes is the economic engine that regenerates the land."
Green Heart began with one question: what if we do things a little differently?
Who we are
Green Heart is a master-planned, walkable eco-town on the Kilifi coast, designed for a vibrant, productive community. 70% of our land is permanently protected as green space — 60,000+ indigenous trees, shaded paths, and bridges through the forest canopy — connecting neighbourhoods built for real life. It's a co-created land-regeneration project, rooted in community, intention, and shared progress. Our strategic goal is simple to say and earned the hard way: build town, build trust.
Where this role fits
Trust is earned on the ground: in supplies that never run out, files that are always where they should be, deadlines met before they fall due, and confidences kept. As our Administrative Assistant, you're the quiet engine behind all of it — across the office, show home, pump house, and solar power plant. It's detail work, done with intention. And it matters.
Supplies and consumables in stock, equipment repairs coordinated, parcels handled, and travel & accommodation booked to policy.
Daily data entry across Google Drive and Notion, new-hire and exit folders, internal trackers kept current — and filing errors flagged, not buried.
Book all-staff and organization meetings, follow up on action points, and schedule reviews and events.
Maintain land transaction files, chase signatures, track compliance deadlines, handle petty cash and procurement documents, and support work-permit renewals.
Recruitment logistics, onboarding setup, leave tracking, staff events, and distributing HR communications.
Supplies never run out unexpectedly, files are where they should be, deadlines are tracked early, and confidential information is handled with discretion. You spot what needs doing before being asked.
